Add FollowCol / Edit FollowCol

Use Add FollowCol to find and add columns to follow. The Add FollowCol screen has 3 tabs – Find List, Columns and Filter, and Follow Methods and a header area to enter a FollowCol Name and Colored Tags to identify and categorize your FollowCols. Once you have entered all information click from the toolbar which will place it to your My FollowCols list.

Find List

Use the Find List tab to search for lists in SharePoint sites or on FollowCol.com that have columns you want to follow. Find List initially defaults to the SharePoint site where FollowCol Dashboard was installed. Thereafter, it will default to the last site used to add a FollowCol. The last 5 sites used to add FollowCols are saved for quick access using the Last 5 dropdown button.

Find List displays the lists available from a site and has 3 main options – Select / Enter URL, Search SharePoint Sites, Search FollowCol.com

Select Enter / URL

Here you can either type or cut/paste a site URL or select from the Last 5 dropdown button to show the lists available from that site.

Search SharePoint Sites

Here you can search for SharePoint sites for which you have permission to access. Clicking on Get My SharePoint Sites will return a list of sites and subsites that are available to you. The list returned depends on whether you are using FollowCol Dashboard (SharePoint Tenant) or FollowCol Dashboard (SharePoint Site).

FollowCol Dashboard (SharePoint Tenant) - clicking on Get My SharePoint Sites finds and returns other sites within the tenant. You can either select a top-level site to show the available lists or you can click the own arrow to search for sub-sites of a site. Selecting a site will show the available lists.

FollowCol Dashboard (SharePoint Site) - clicking on Get My SharePoint Sites finds and returns subsites of the current site where FollowCol Dashboard is installed. You can either select a subsite to show the available lists or you can click the own arrow to search for sub-sites of a site. Selecting a site will show the available lists.

TIP:   You can use the Document Library Follow Method to follow your OneDrive documents. For FollowCol Dashboard (SharePoint Site) the app must be installed in your "My Sites" site. For FollowCol Dashboard (SharePoint Tenant) the app does not display the "My Sites" site when searching but you can cut/paste the My Sites URL in the "Select / Enter URL" field.

NOTE:   Use the "About FollowCol Dashboard" menu option to determine whether you are using FollowCol Dashboard (SharePoint Tenant) or FollowCol Dashboard (SharePoint Site).

NOTE:   Certain sites are excluded from the search list based on the type of site as some sites and lists contain columns that are not compatible with FollowCol.

Search FollowCol.com

Here you can search for lists on FollowCol.com where various types of common lists/columns are available to follow. FollowCol.com lists are constantly being monitored, updated, and added. When there is something new or changed you will be alerted with and a "new" or "updated" graphic. To get the current lists available select Get FollowCol.com Lists.

List for site: ...

Upon finding and selecting a site the lists available from that site displayed at the bottom of the screen. The lists are categorized by type and display List Name, Type / Category, and Item Count. If there are more than 50 lists the first Category will be selected, otherwise lists of all categories will be displayed. To select a list click the plus button which brings you to the Column and Filters tab where you will select columns to follow and optionally apply data filters.

Columns and Filters

The Columns and Filters tab is where you select the columns to follow and, optionally, set data filters on the columns to focus on just the data you wish to follow. The list of columns display the column name, type, and whether the column is indexed or not. The Type column is important since certain Follow Methods require a specific type of column. For example, a Bar Chart follow method need at least 1 column of Number type and a Trend Chart needs at least 1 column of Date and Time type. The Index column is important for Large Lists which require one or more data filters on indexed columns.

NOTE:   Certain columns are excluded from the column list based on the type of column as some column types are not compatible with FollowCol.

Selecting Columns

To select a column to follow click the plus button and the column is then added to the right pane. (On small devices the column will be added below and initially out of view). Continue adding columns you are interested in using the plus button.

NOTE:   There is a limit to the number of columns that you can select to follow for a given list. For SharePoint lists the maximum is 15 columns per list. For FollowCol.com lists, the maximum varies for each list (you can view the "Max Select Columns" by clicking on the list name on the Find List tab). The reason for select column limit is to keep each FollowCol Dashboard focused on particular information and to help keep the dashboard as fast as possible.

When you have reached the "Max Select Columns" limit a warning such as following will be displayed:

Data Filters

After selecting columns to follow you can add data filters to the columns. The types of filters you can set is based on the column type. You can build advanced filters using "and" and "or" within the same column and across columns. To add multiple filters to a single column use the small plus button and click either "and" or "or" button appropriately based on the results you are trying to achieve. Columns with filters will display a green header with the filter symbol. If you want to filter multiple columns follow the same process on a second column. The second column will display "and"/"or" buttons in the green header to in order set the data conditions across columns. You can move filtered columns together using the direction arrows for optimal viewing of data filters. (Note that after saving the FollowCol all columns with data filters will automatically be displayed first.) You can use the data filter preview panel by clicking to view your current filters.

NOTE:   Be careful when setting complex data filters and be sure to analyze the data on the dashboard using the Data Grid Follow Method to ensure you are getting the correct results.

Follow Methods

The Follow Methods tab provides various ways in which you can follow columns including Data Grid, Charts, and Statistics. The Follow Methods available to select depends on the types of columns selected to follow. For example, a Bar Chart follow method need at least 1 column of Number type and a Trend Chart needs at least 1 column of Date and Time type.

Select Follow Method

To Select a Follow Method click the plus button and the Follow Method is then added to the right pane. (On small devices the Follow Method will be added below and initially out of view). Once selected, enter additional information required for the Follow Method which controls the display of the Follow Method on the Dashboard. For example, a chart follow method will require you to select at least one data series column (of Number type). Continue adding Follow Methods you are interested in using the plus button. Note that the Data Grid Follow Method is automatically selected for convenience but you can unselect it by clicking the remove button in the top right corner.

NOTE:   Watch for new Follow Methods to be added in future releases of FollowCol. If you have a suggestion for Follow Method then please let us know. Suggest Follow Method

FollowCol Name and Colored Tags

Give your FollowCol a descriptive name and to categorize your FollowCols you can enter up to 5 colored tags. Tags help you quickly find FollowCols for display on the Dashboard. You can enter tag text and then select from 4 colors – Blue, Green, Yellow, or Red – or use a colorless/neutral tag (light gray). The meaning of the colors is up to you. You can create a colored tag with no text by entering a space character and then "Enter" on the keyboard. The combination of text and color provide you with many ways to keep you FollowCols organized.
